Try the unified inbox first. Outlook for Mac can combine your Outlook.com, Microsoft 365, Gmail, Yahoo, and IMAP accounts into a single view. It stops you jumping between browser tabs just to see what landed.

Next, pin the calendar to the sidebar. It pulls in schedules from all connected accounts and sits next to your mail list. On macOS you also get Profiles—a way to separate work and personal accounts inside the same app, each with its own notifications and appearance. Once that's done, spend ten minutes on swipe gestures and Quick Actions. They let you archive, flag, or schedule a message without opening it. It is the fastest way to clear a cluttered inbox on a Mac.

A morning triage workflow

  1. Open Outlook. The unified inbox is already your starting point.
  2. Press Cmd+1 to jump to Mail, then Cmd+Shift+M to collapse all folders. You see only the unified inbox.
  3. Swipe right on anything that needs a reply today. I map right-swipe to Flag. Swipe left on newsletters and CC-only threads—mine sends them to Archive.
  4. For anything that takes under two minutes, reply immediately with Cmd+R. For longer replies, right-click the message, pick Snooze, and choose “Later today.” The message vanishes and returns as an unread item at the time you set.
  5. Now press Cmd+2 to switch to Calendar. Drag any email that needs a meeting onto the calendar icon in the sidebar. Outlook creates an appointment with the email body as the notes field. Add attendees before you save.
  6. Press Cmd+1 to return to Mail. In the “Filtered by” dropdown above the message list, choose Flagged. That is your priority queue for the day. Everything else can wait.

Flagged emails land in Apple Reminders

Outlook for Mac is not an island. Several integrations make it work harder with the rest of your system.

  • Apple Reminders: Flagged emails appear in Reminders if you enable the account in System Settings → Internet Accounts. Tick them off from either app.
  • Apple Calendar: Outlook calendars sync to the system Calendar app over Exchange or CalDAV. If you prefer Fantastical or BusyCal, add the account there and use Outlook purely for mail.
  • OneNote: The “Send to OneNote” button in the ribbon copies an email into a notebook. Useful for meeting threads you want to annotate later.
  • Focus Filters (macOS): Tie an Outlook Profile to a Focus mode. When you switch to Work Focus, only your Microsoft 365 account shows; switch to Personal Focus and only Gmail and iCloud calendars remain visible. This works via the Profiles feature built into the app.
  • Share Sheet: From Pages, Keynote, or Finder, use Share → Outlook to attach a file to a new message. The January 2025 update fixed document-sharing issues from other Office apps, so cross-app attachments now behave.
  • Spotlight: Outlook messages are indexed. Type a sender name or subject into Spotlight to open a message without launching the app first.

Reading pane

Go to Outlook → Settings → Reading. Set the reading pane to Right. It uses the wider Mac display better than the bottom pane. Turn off “Mark as read immediately” and set a delay of 5 seconds. You keep control over what counts as read.

Swipe gestures

Settings → Mail → Swipe Gestures. Set right swipe to Flag and left swipe to Archive. These two actions clear 80% of triage decisions without opening a single email.

Compose and reply

Settings → Composing. Turn on “Always show Bcc” and set the default font to something neutral like 11pt Helvetica. Uncheck “Include original message text” if you prefer clean replies. The less formatting in the chain, the faster threads stay readable.

Notifications

Settings → Notifications. Switch to “Mail from people in my contacts only.” You still see meeting reminders and flagged follow-ups, but newsletters and cold mail stop interrupting.

My Day pane

From the toolbar, toggle the My Day pane. It overlays your daily calendar and today’s flagged items on top of the mail view. Drag it to the right edge of the window and keep it pinned. You see your schedule without switching views.
